How we handle your data

Noēsis is a small, member-led collective. We collect the minimum personal data we need to run it, and we treat what we hold with care. This page explains what we collect, why, who else sees it, and what you can ask us to do with it.

What we collect
Depending on how you interact with Noēsis, we may hold:
- Application data. Name, email, professional background, and the answers you give in our membership application form.
- Member profile. Notes from intro calls, your areas of focus, things you are working on, and any context useful for member-to-member introductions.
- Communications. Emails, WhatsApp messages, and event RSVPs you exchange with us.
- Payment records. If you pay a membership fee, we keep proof of payment and invoice records. Card details are handled by our payment processor and never stored by us.
- Newsletter subscription. Email address if you sign up for our newsletter.
- Server logs. Standard access logs (IP, user agent, page) kept by our hosting provider for security and uptime, typically for a short period.
Why we collect it
- To review your membership application and decide on a fit.
- To run the collective: events, masterminds, introductions, member communications.
- To process membership payments and meet our bookkeeping obligations.
- To send you the newsletter or transactional emails you have asked for.
Legal basis under GDPR: your consent (newsletter, application), the contract between us (membership), and our legitimate interest in running the collective.
Who else sees it
We use a small number of trusted services to operate Noēsis. They process data on our behalf:
- Google Workspace - email, documents, calendar.
- Notion - member profiles and internal notes.
- MailerLite - newsletter and member email automations.
- Stripe - membership payments. Stripe receives card and billing data directly; we never see full card numbers.
- Luma - event registrations and RSVPs.
- WhatsApp (Meta) - direct messages and group chats, when you choose to use it with us.
- Vercel - website hosting.
- Google Fonts - typography is loaded from Google's servers, which means your browser sends a request (including IP) to Google when you load the site.
Some of these services are based outside the EU. They commit to safeguards (Standard Contractual Clauses or equivalent) to protect data transferred internationally.
We do not sell your data. We do not share it with advertisers. We do not run analytics or tracking on this website.
How long we keep it
- Applications we declined: deleted within 12 months unless you ask sooner.
- Active members: for the duration of membership and a reasonable period after, in case you return.
- Payment and invoice records: kept for as long as required by tax and accounting law.
- Newsletter list: until you unsubscribe.
Your rights
Under GDPR you can ask us to:
- Show you what data we hold about you.
- Correct anything that is wrong.
- Delete your data, where we are not required to keep it.
- Export your data in a portable format.
- Stop processing your data, or withdraw consent you previously gave.
- Complain to a data protection authority if you think we have mishandled your data.

Cookies
This website does not set tracking or analytics cookies. Some essential third-party services we link to (Stripe checkout, Luma event pages, the newsletter signup) may set their own cookies when you visit them.
Changes to this page
When we change anything material, we update the date at the top and, for active members, send a short note by email.
